Position Overview
Provide administrative support for Randall & Hurley, Inc. to ensure business needs are met
in an effective and efficient manner, focusing on internal and external customer service. In
addition to billing, collections, accounts payable, accounts receivable, this position backs up
administrative duties such as: word processing, filing, Receptionist, coordinating direct
mailings, and working on special projects. Also assembles highly confidential and sensitive
information. Responds to a diverse group of important external callers, vendors, and visitors
as well as internal contacts at all levels of the organization.
Supervision Received
Reports to Administrative Supervisor and/or Human Resources Director.

Duties and Responsibilities
1. Acquires basic familiarity and understanding of the company’s organizational structure, the
services it offers to clients, and practices and policies relating to professional,
administrative, and personnel matters.
2. Review and code accounts payable.
3. Process daily accounts receivables; preparing daily deposits.
4. Assists with client billing.
5. Makes collection calls on past due invoices.
6. Provides reconciliation of financial reports to accountant on a bi-weekly and monthly basis.
7. Assists with month end closing and reconciliation.
8. Work in cooperation with other administrative staff to cover phones and back up the front
desk as needed.
9. Maintain and update filing system in accordance with administrative processes and
procedures. Retrieve information and scan documents as needed.
10. Makes suggestions to improve internal administrative process and procedures.
11. Keep supervisor fully informed on job progress and problems as they arise.
12. Draft and prepare general correspondence. Proofread for spelling, grammar and layout,
making appropriate changes. Responsible for accuracy and clarity of final documents.
13. Ability to effectively prioritize and execute tasks in a fast-paced environment.
14. Complete other duties as assigned.

Knowledge, Skills and Characteristics
1. Proficient in administrative practices and procedures. Ability to operate a computer, printer,
fax, copy machine, and other office equipment.
2. Strong knowledge of Microsoft desktop operating and related applications, i.e Word, Excel
and Outlook.
3. Ability to communicate effectively orally and in writing.
4. Strong interpersonal skills including tact, diplomacy and ability to maintain composure under
pressure. Ability to establish and maintain effective working relationships with employees
and clients.
5. Ability to maintain confidentiality.
6. Must be reliable and punctual.
7. Ability to adapt to changing situations and needs in a positive manner.
8. Ability to work independently and efficiently with attention to detail and use of initiative and
independent judgment.

Education and Qualifications
Equivalent to graduation from high school and three years related accounting and
administrative experience required.

Physical Requirements

▪ Ability to lift bulky client records, paper boxes, laptops and computers.
▪ Licensed to drive a vehicle (and availability of a vehicle for business use when needed)
